About Our SMS Communications

BigShop AI offers optional SMS/text message notifications to help auto repair shops communicate efficiently with their customers. All SMS communications require explicit opt-in consent and can be cancelled at any time.

📱 SMS Messaging Is Entirely Optional

SMS/text messaging is not required to use BigShop AI. Customers and shops can access all features, services, and functionality of BigShop AI without opting in to SMS notifications. No features, services, or capabilities are gated behind SMS consent. SMS opt-in is a completely separate, standalone choice that does not affect the customer's ability to receive service or use the platform in any way.

1. Consent Collection

SMS consent is collected as a standalone, independent action — completely separate from any terms of service, end-user license agreement, service contract, or other agreement. Opting in to SMS is never a condition of any transaction, service, or account creation. BigShop AI collects SMS consent from end users (your customers) through the following dedicated methods:

1.1 In-App Opt-In Checkbox

When a shop creates or edits a customer record in BigShop AI, customers can provide their phone number along with explicit SMS consent. The consent is collected via a clearly labeled opt-in checkbox within the customer management interface.

1.2 Customer Portal Opt-In

Customers accessing the BigShop AI Customer Portal can opt in to SMS notifications directly. A clear consent prompt is displayed when they add or confirm their phone number, with full disclosure of message types, frequency, and opt-out instructions.

1.3 Smart Check-In Kiosk

When customers check in at a shop using BigShop AI's Smart Check-In feature, they may opt in to SMS notifications by providing their phone number and checking the SMS consent box on the check-in screen.

✅ Consent Is Always Explicit

SMS consent is never pre-checked or assumed. Customers must take an affirmative action (checking a box, tapping a button) to opt in. Consent is recorded with a timestamp and associated with the customer record.

2. Types of SMS Messages

When consent is provided, BigShop AI may send the following types of messages on behalf of the shop:

  • Work Order Updates: Notifications when a vehicle's service status changes (e.g., "Your vehicle is ready for pickup")
  • Appointment Reminders: Upcoming appointment confirmations and reminders
  • Invoice & Payment Notifications: Invoice ready alerts and payment confirmations
  • Inspection Reports: Links to digital vehicle inspection results
  • Service Recommendations: Follow-up service reminders based on vehicle maintenance schedules

Message Frequency: Message frequency varies based on service activity. Typically 1–5 messages per service visit. No more than 10 messages per month per customer.

Message & Data Rates: Standard message and data rates may apply depending on the customer's mobile carrier and plan.

3. Opt-Out Instructions

Customers can opt out of SMS notifications at any time through any of the following methods:

  • Reply STOP: Text STOP to any message received from BigShop AI to immediately unsubscribe
  • Reply HELP: Text HELP to receive assistance and opt-out instructions
  • Contact the Shop: Ask the shop to disable SMS notifications on their customer record
  • Customer Portal: Log into the Customer Portal and toggle off SMS notifications in account settings
  • Contact Us: Email support@bigshopai.com with "SMS Opt-Out" in the subject line

Once a customer opts out, all SMS messaging will cease immediately. Opting out does not affect other communications (email, in-app notifications) or the customer's service relationship with the shop.

4. Consent Records

BigShop AI maintains records of all SMS consent, including:

  • Timestamp: Date and time consent was provided
  • Method: How consent was collected (in-app, customer portal, check-in kiosk)
  • Phone Number: The phone number for which consent was given
  • Consent Text: The exact disclosure shown to the customer at the time of consent
  • IP Address: For web-based consent (customer portal, check-in kiosk)
  • Opt-Out Records: Date and method of any subsequent opt-out

These records are stored securely and retained for the duration of the customer relationship plus an additional 5 years for compliance purposes.

5. Data Privacy & Sharing

Phone numbers and SMS consent data are handled in accordance with our Privacy Policy. Specifically:

  • Phone numbers are never sold to third parties
  • Phone numbers are never shared for marketing purposes outside of the shop–customer relationship
  • SMS messages are sent only through verified, carrier-approved channels
  • All data is encrypted in transit and at rest
  • SMS functionality is provided through Twilio, a trusted and compliant communications platform

6. Supported Carriers

BigShop AI SMS notifications are compatible with all major US carriers, including but not limited to: AT&T, Verizon, T-Mobile, Sprint, US Cellular, and their MVNOs. Carriers are not responsible for delayed or undelivered messages.

7. TCPA & CTIA Compliance

BigShop AI is committed to full compliance with:

  • Telephone Consumer Protection Act (TCPA): We obtain prior express consent before sending any SMS messages
  • CTIA Messaging Principles: We follow all CTIA short code and toll-free messaging guidelines
  • CAN-SPAM Act: All commercial messages comply with applicable regulations
  • State Regulations: We comply with all applicable state-level telecommunications regulations
